Privacy Policy
Last updated: June 2026
This Privacy Policy explains how Holcare Mental Health ("I", "me", "my") collects, uses, and protects your personal information when you visit my website or use my services. I am committed to protecting your privacy and handling your personal data in line with the UK General Data Protection Regulation (UK GDPR), the Data Protection Act 2018, and the Data (Use and Access) Act 2025.
Who I am
Holcare Mental Health is owned and operated by Nneka McKenzie. For any questions about this policy or your personal data, you can contact me at:
Email: Info@holcarementalhealth.co.uk
ICO registration number: ZC159037
I am the "data controller" responsible for your personal data.
What information I collect
Depending on how you interact with me, I may collect:
Contact details such as your name, email address, and phone number, provided when you complete a contact form, book a discovery call, or get in touch.
Information you share during enquiries, discovery calls, or coaching sessions, which may include details about your health, ADHD diagnosis or symptoms, medication, and wellbeing. This is known as "special category data" and is treated with particular care.
Technical information such as your IP address, browser type, and how you use my website, collected automatically through cookies and similar technologies (see "Cookies" below).
How I use your information, and my lawful basis
I use your personal data to:
Respond to your enquiries and arrange discovery calls — on the basis of taking steps at your request before entering into a contract, and my legitimate interest in responding to you.
Provide coaching and related services to you — on the basis of our contract, and your explicit consent for any health-related (special category) information.
Keep appropriate records of our work together — on the basis of my legitimate interests in running my practice responsibly and meeting professional standards.
Comply with legal and regulatory obligations.
Where I rely on your consent — particularly for health-related information — you are free to withdraw that consent at any time by contacting me.
How I store and protect your information
I take the security of your personal data seriously and use appropriate technical and organisational measures to protect it against unauthorised access, loss, or misuse. Your information is stored securely, and access is limited to what is necessary to provide my services.
Sharing your information
I do not sell your personal data, and I will not share it with third parties except:
Service providers who help me run my practice (for example, booking, video-call, or email platforms), who are bound to protect your data and only process it on my instructions.
Where I am required to by law, or where there is a serious risk of harm to you or others, in line with my professional and safeguarding obligations.
I will always discuss the limits of confidentiality with you at the start of our work together.
How long I keep your information
I keep your personal data only for as long as necessary. Enquiry information that doesn't lead to ongoing work is kept for [e.g. 12 months]. Records relating to coaching clients are kept for [e.g. 7 years after our work ends], in line with professional record-keeping guidance, after which they are securely deleted.
International transfers
Some of the digital tools I use may store data outside the UK. Where this happens, I take steps to ensure your data receives an equivalent level of protection, in line with UK data protection law.
Cookies
My website may use cookies to help it function and to understand how visitors use it. You can control or disable cookies through your browser settings. [If you use analytics or a cookie banner, mention it here, e.g. "When you first visit, you'll be asked to accept or manage cookies."]
Your rights
Under UK data protection law, you have the right to:
Access the personal data I hold about you; ask me to correct inaccurate data; ask me to delete your data in certain circumstances; restrict or object to how I use it; request a copy in a portable format; and withdraw consent where I rely on it.
To exercise any of these rights, please contact me using the details above. I will respond within one month.
Complaints
If you have a concern about how I handle your personal data, please contact me first so I can try to put things right. You also have the right to complain to the Information Commissioner's Office (ICO), the UK's data protection regulator, at ico.org.uk or by calling 0303 123 1113.
Changes to this policy
I may update this policy from time to time. Any changes will be posted on this page with a revised "last updated" date.
